How we handle your information, under the NZ Privacy Act 2020.
Who we are
This policy covers how Phantom Screens NZ (“we”, “us”) collects, uses, and protects your personal information, in line with the New Zealand Privacy Act 2020.
What we collect
- Enquiry details you give us - your name, contact details, address or region, the photos and measurements you send, and what you tell us about your project.
- Phone calls - recordings and transcripts of calls to and from our business numbers.
- Website usage data - standard analytics such as pages visited and how you arrived, collected to improve the site and our advertising.
How we use it
We use your information to:
- respond to your enquiry, prepare a quote, and arrange a measure-up and installation;
- provide service, aftercare, and warranty support;
- improve our website, products, and advertising.
We do not sell your personal information.
Preparing estimates
To prepare estimates, we may use specialist service providers to turn project messages, call transcripts, photos and measurements into draft suggestions. Our staff review these suggestions before using them in your estimate.
Providers assisting with estimates may process or store information outside New Zealand.
Who we share it with
We share information only as needed to run our business - for example with the service providers who host our website, handle our enquiry forms, phone calls and messaging, and process payments. They are required to protect your information and use it only for those purposes.
Phone calls
We record and transcribe incoming and outgoing calls to our business numbers, and keep them with the rest of your job record.
We use them to keep an accurate record of what was discussed and agreed, to train and support our team, and to improve our service. We do not sell or publish recordings or transcripts.
Cookies and analytics
Our site uses cookies and analytics tools to understand how the site is used and to measure advertising. You can control cookies through your browser settings.
Storing your information
We keep your information only as long as we need it for the purposes above or as the law requires, and we take reasonable steps to keep it secure.
The temporary source-text copy in our estimating system is scheduled for deletion 30 days after preparation. Original correspondence, suggestions, review history and job records may be retained longer for service, audit and recovery purposes. Deleting the temporary copy does not immediately remove existing backups.
Our estimate-processing provider normally deletes submitted material and responses within 30 days. It may retain information longer for legal obligations or to investigate and prevent misuse, and authorised provider staff may review flagged content.
Your rights
Under the Privacy Act 2020 you can ask to see the personal information we hold about you and ask us to correct it. To make a request, or for any privacy question, contact us.

We may update this policy from time to time; the current version always lives on this page.
